Volume 1 - 2018

It's a new year, so what better time to change things up in this issue of the BW Newsletter? In addition to the usual elements - training opportunities, news, and tips & tricks - I have added a new section: Help Design a BW Training Workshop.  Please take a minute or two to tell me what BW reporting question you need help answering. A link to a one-question survey is below.

As always, I hope you find this issue of the Newsletter informative. Please let me know if you have any questions, comments, or suggestions for future BW Newsletters.

Help Design a BW Training Workshop

Each month, I roll out an introductory workshop involving each of these reporting areas: Funds Management, Grants Management, Supplier Relationship Management, and Payroll. From my perspective, the basic elements of Business Warehouse reporting are well covered in these sessions.

Beyond the basics, though,  I frequently hear from report users that they would like to learn more. "What else do you offer?" is a common refrain as attendees file out of the computer lab following an introductory session. I am completely on board with the idea of adding new training workshops, but here's the problem: at the same time that I hear "I don't know what I don't know about BW reporting" in response to my question regarding what more they would like to learn, my thought is "I don't know what you don't know."

So where to begin? This is where I need your help. This one-question survey is your opportunity to share a question or issue you would like help with. Your feedback will help me in creating a new BW workshop in which those questions/issues are addressed.

Intermediate/Advanced Workshop

Advanced Reporting for Payroll Coordinators - Does this describe you? You are a Payroll Coordinator, you have taken the introductory BW Payroll Reporting training session, you have worked with the reports for at least a month (so you're familiar with how to use them), and you're ready to take the next step and learn about the Employee Master Data reports. If so, this workshop is for you! We will use your questions to set the agenda in order to make the session as relevant to you as possible. Click the link above for a full description of the workshop and to register.

Introductory Workshops

As is true each month, an assortment of introductory workshops will be available. These sessions present to new employees - or employees assigned a new business role - the fundamentals of reporting for a particular subject area. The sessions are a great way to review material, too. Even if you previously attended an intro session, you are likely to learn new things about reporting - or to be reminded of concepts that you had forgotten.

Tips & Tricks

Viewing ISR and FSR Activity in a BW Report

Applying a filter to a Funds Management report makes it easy to isolate Internal Service Requests (ISR’s) and Facilities Service Requests (FSR’s). This Help Guide describes the steps required to apply the filter.

How many hours did a weekly paid employee work during a particular time period?

If you’re a payroll coordinator or a manager, this is an easy question to answer. Each of the three primary Labor Distribution reports – Payroll Inquiry by Distribution (PA12), Payroll Inquiry by Employee (PA15), and Funds Center Report – display the hours worked that correspond to pay for a given period. When one of these reports is run, the initial display includes the Salary Key Figure.

Note the black triangle, which indicates this column contains additional data.
BUworks - bw_hours_worked_hidden
Clicking on the triangle reveals the additional data – in this case, the hours attributed to various Wage Types for two employees.
BUworks - bw_hours_worked_expanded

That’s all there is to it! Note that you can hide the Hours Worked column by clicking again on the black triangle.

Custom Training Sessions

Have you ever thought that it would be really useful if you could get members of your department together with a trainer to focus on BUworks functionality that is specific to the work your department does? I’m happy to work with any department or group that would like to develop and conduct a custom basic- or intermediate-level reporting training session. There are only two requirements for such a session: (1) input from the group is necessary to develop a relevant agenda, and (2) the group should include four or more employees. If you’re interested in discussing the development of a custom session for your department or school/college, contact me via email or give me a call at 617-353-6382.

Custom sessions scheduled in October/November: School of Public Health, Sargent College, Student Employment, and Human Resources. Would your School or department admins benefit from a custom session?
