Job: Registrar

 

CMCB is at an exciting juncture in our 113-year history, and we are eager to welcome a new Registrar to our Community Music School Programs Team. This role is a great early-career position for candidates with an interest in the arts and education sectors who have strong written and oral communication skills and enjoy working in a dynamic environment. The Registrar will work closely with members of the Programs teams, particularly the other Registrar, and will manage the registration process, collaborate with faculty and staff on programming needs, and be the first point of contact for many of our families. Given the exposure this role has to all departments, such as the Advancement department to center the voices of young people, the individual in this role would gain a solid understanding of all aspects of the organization. While previous interest in the arts or non-profit sector is a plus, any candidate with attention to detail, strong customer service skills, and a willingness to learn could thrive in this role. Reports to: Senior Director of the Community Music School (SDCMS)

Works Closely With: Registrar, Programs Staff and Faculty, Human Resources & Business Office Manager (HRBOM), Bookkeeper

Responsibilities:

Customer Service

  • Interact with the public, families, and students in a professional and welcoming manner
  • Answer phone calls and provide customer support

Registration/Administration

  • Register students for music instruction and classes
  • Manage registration office operations
  • Maintain accurate program offerings in registration software,
  • Resolve schedule conflicts in a timely manner
  • Allocate teaching studios according to instrument and space needs

Tuition/Billing

  • Collect tuition and record transactions and adjustments
  • Track delinquent accounts and send correspondence for tuition payment
  • Oversee weekly income deposit procedure and ensure daily income reports are reconciled

Data Collection and Reporting

  • Support the CFOO in the annual audit with registration related reporting items, such as deferred revenue and financial aid

Other

  • Work collaboratively with other Registrar on all registration and tuition related tasks
  • Liaise between faculty and students / families

Qualifications:

Essential

  • Strong background in front-facing customer service and office management, such as professional experience managing a high volume of customers, upholding company policies and procedures, maintaining accurate records, and/or utilizing technology to optimize administrative procedures
  • Highly organized, detail oriented, and effectively prioritizes tasks to maximize workflow
  • Strong written and verbal communication
  • Manages change and balances shifting priorities
  • Ability to create a culturally competent and inclusive environment
  • Motivated and can work independently as well as collaboratively across teams
  • Knowledge of Microsoft Office Suite (particularly Excel), Google Apps, and Zoom
  • Must be authorized to work for ANY employer in the U.S as CMCB is unable to sponsor or take over sponsorship of an employment visa at this time

Preferred

  • Experience in CRM software and Constant Contact
  • Experience in arts administration and/or school environment
  • Fluency in a second language, particularly Spanish and/or Chinese (Mandarin/Cantonese), is highly desirable

Physical Demands:

While performing the duties of this job, the person in this position must be able to to remain in a stationary position 50-75% of the time. They will need to constantly operate a computer and other office productivity machinery. They will also need to exchange information accurately with families and recognize and identify different forms of acceptable payments, including cash, check, and credit card.

Status & Schedule: This is a full time (40 hours/week) salaried and exempt position with a hybrid Monday-Friday schedule.

Compensation: $40,000-$50,000 annually.
