Quick Start Guide
1. On the “Zoom Rooms” ipad next to the Control Board, start a meeting.
2. Use the “Invite” button to send a link to anyone to join the Zoom call.
3. After your guest connects–hit “View” and then “NDI”
4. The guest will need to click ok on a pop up on their screen for their video to appear
5. Select the box in the upper left (box #1) and select the guest. You can repeat this step for up to two more guests (NDI 2 and NDI3)
6. Pull up NDI1 on PVW or PGM and start the interview!
Instructions for Control Room Operators
Using the Zoom Rooms ipad, start a meeting. Invite people to join the meeting by using the “Invite” button to send them the meeting link. You can alternatively tell them the Meeting ID and Passcode.
When the guest/reporter(s) connect, press the “View” button and then the “NDI” tab. Press upper left box (#1) and select the guest/reporter. This person’s video will appear full screen on the NDI 1 output and their audio on the NDI 1 audio channel. You can repeat this process with Box #2 (NDI 2) and Box #3 (NDI 3) if there are multiple guests.
The remote guest will receive a message saying their video is going to a NDI output which can be recorded outside of Zoom. The guest/reporter needs to click OK for this message for their video to appear.
Instructions for Zoom Guests (and Reporters without Camera Gear)
If the remote person lacks a dedicated video camera connection (normal guest or a reporter with only their phone), they can join the studio zoom meeting as they would any other meeting. No special instructions or procedures are needed. As in any zoom session, each participant should have a working microphone and camera.
Try to connect with the guest via zoom in advance of the live interview to ensure you can see and hear them clearly on their chosen devices. For example: the guest may need to select another microphone input, move to a room with better lighting, etc.
What the Remote Person hears on zoom: The IFB Intercom Channel with Program Audio. To speak with the guest, press the IFB button on the intercom station and/or turn on & bring up a studio Microphone channel on the audio console.
On the audio console, Submix #1’s level must be turned on and raised in order for the remote person to hear the studio microphones and program audio. (This is the studio’s default setup.)
What the Remote Person sees on Zoom: The remote person will see whatever camera or source is selected on the video router. See the engineering staff to change this source if needed. Tech Note: On the zoom ipad settings (gear icon) select the “Built-In Input” as the Zoom microphone source if the guest isn’t hearing any audio. The video input should be “USB”
Instructions for COM Reporters with Camera Gear
Important: Practice these steps before leaving the building. It is extremely difficult to troubleshoot once the remote person has left COM.
- Use a camera with an HDMI Output, such as the Sony X70. Make sure to set up in a location with good Wifi, create a hotspot on a phone, or borrow one of COM’s mobile hotspots (if available.) In the camera’s settings, make sure HDMI output is enabled. COM Tech Ops staff can help with this if you bring us the camera before you leave the building.
- Set up a laptop near the camera so that the reporter can clearly read the computer screen. Laptop floor stands are available upon request.
- In the remote reporter’s kit is a small box with an HDMI connection on one side and a USB connection on the other. The HDMI cable is connected to the camera and the USB connection plugs into your computer. Contact the Tech Ops staff to get this kit and practice making the connections before leaving the building.
- On the laptop, select “USB” for the camera source and microphone input. You should see the video from the camera on the tripod. The zoom mic levels should move when speaking into the microphone connected to the camera.
- The remote reporter may want to connect an earpiece (Bluetooth headphones, Airpods, etc) to the computer so they can hear the IFB and program audio over zoom. They can also turn up the speaker volume on their laptop if they don’t have an earpiece on hand.
Phone Only Instructions
Call 617-358-8166 to hear the same IFB and Program audio over the phone. Only one person can call into this number at a time. Bluetooth headphones can also be used in this method. Multiple people can connect to the zoom session to hear the same audio (IFB/Program). They will need to have their mic muted and cameras off.
