Request for Financial Support

Professional Organization Membership

The Department will reimburse each student for one membership (up to $100) in a professional organization/society once per academic year. Students need not submit a request for support and need only follow the reimbursement procedure below.

Car Rental Insurance

Students are only covered if a Boston University employee has rented or leased the vehicle on their behalf and has added the student as an additional driver on the car rental contract. The student is not covered by BU’s liability insurance unless the aforementioned step has taken place. For local trips, students may consider a Zip Car membership, which has its own insurance. Students will not be reimbursed for insurance they purchase separately.

Travel Insurance

Students should not purchase travel insurance. BU will not reimburse for it.

Amazon

Do not purchase any items directly through Amazon; you will not be reimbursed. Please contact Administrative Coordinator Fred George (fgeorge@bu.edu) to place an order.

Additional Travel Guidelines

Reimbursement Procedures

Reimbursements cannot be processed before the travel/event has completed. Reimbursements should be requested immediately after the charges/travel in question.

To submit for reimbursement:

  • Download and complete the reimbursement form [xlsx].
    • Use this form for all reimbursements.
    • Make sure your mailing address is complete, including any apartment or unit number.
    • Please be explicit in noting the funding source.
  • Email the form and PDFs of all receipts to eetravel@bu.edu.
  • Please note that all receipts must be itemized.

The Graduate Program Coordinator can use BU systems to pay many expenses for you in advance, including airfare, conference registrations, abstract submission fees, and accommodations (hotel or AirBnB).

Consult the Graduate Program Coordinator in advance if you and other travelers are sharing lodging costs; please do not make arrangements among yourselves to reimburse each other personally.
