Schedule a Meeting

You can schedule meetings in advance from the Deskop, Mobile, and Web app, as well as through your course on Blackboard. The following guide includes settings recommended for scheduling Lectures.

  1. In the Zoom app click on “Schedule
  2. In the new “Schedule Meeting” window enter the following details:
    • The lecture title under “Topic
    • Check “Recurring meeting”
  3. At the bottom of the window expand “Advanced Options” and make sure the following are checked:
    • Mute participants on entry
    • Automatically record meeting
      • In the cloud
    • Alternative Hosts: Enter the email address for a Co-host if desired
    • After class, after the recording has processed, download it from Zoom, then upload the recording to the Media Gallery of your Blackboard course.
  4. Clicking “Schedule” will open the calendar app you selected. In this example we’ll use Outlook. Check the Scheduling FAQ for “Other Calendar” options.
  5. Edit the following fields in the Outlook Meeting Invitation:
    • Add the attendees addresses in the To field
    • Double check the Start Time and End Time
    • Edit the Recurrence
    • Note that the same Join Zoom Meeting link will be used for all future occurrences
  6. Click Send to complete scheduling the meeting
  7. Back in the Zoom app you can see upcoming meetings
