ECM is the new module in SAP that is used for the annual merit review process for eligible employees. The Legacy Merit Review System will no longer be available.

ECM provides a worksheet for recommenders to input an increase for each eligible employee within their organization. A recommender can either be the manager of the Organizational Unit or a designated substitute/proxy. The recommender input is then available for review and approval by leadership within the organization.

General Increase: L2324 Employees actively employed on the effective date of increase will receive a general increase to their hourly rate. The increase percentage is determined by the negotiated rate in the L2324 contract.

Performance Increase: L2324 employees are also eligible for a performance-based increase, provided that the following conditions are met:

• The employee receives an overall performance rating of at least “meets standard” (17).
• The employee completes his or her probationary period* on or before April 1 of the increase year.
• The employee is still actively employed on the effective date of the increase.

Years of Service: Per the L2324 contract, employees who have completed three years of service as of the effective date of the increase will be raised to the first quartile, and employees who have completed five years of service as of the effective date of the increase will be raised to the midpoint. Employees are only eligible for these adjustments if they receive an overall performance rating of at least “meets standard.” Employees receive either the General and Performance increase, or the Years of Service increase, whichever is greater.

During the Merit Review Process, no Org Unit updates can be made to an eligible employee. The employee will need to be reviewed within their current Org Unit. Departments may make updates after the process has been completed.

No. Once submitted, the recommender cannot change the recommendation. The approver however, can modify the recommended increase for the employee in question.

Yes, it is possible. However, there is no functionality for uploading recommended increases. The information contained on the worksheet view and the individual planning view were created based on departmental feedback during the system implementation.

The guideline is a calculation of the annual salaries of all eligible employees for this review and the increase percentage determined by the contract. It is the total amount that an area may recommend for increases.

No area may exceed the Guideline, regardless of whether or not they are able to fund the difference internally. This ensures fair and equitable treatment of all employees throughout the review process.

No. You should not apply the merit pool percentage evenly across the board to all your staff. Merit increases should be allocated to individuals in alignment with the individual’s performance.

Managers will have access within the system to a Compensation Statement that details the approved increase for each employee. Human Resources will notify managers when these statements are available. Managers should not discuss increases with employees until Human Resources has confirmed that increases have been approved. The Compensation Statement should be delivered in a meeting between the manager and the employee to discuss the approved increase.

These statements will also be available to employees via Employee Self-Service once the increases have been implemented.

The Compensation History Report is a report available within ECM It displays the last 5 years of Compensation data for employees.
