Events & Conferences offers a variety of event and meeting spaces, hosting more than 100 events on campus in the summer months. Our offerings span from housing programs to social events, weddings, and academic conferences. E&C employs a dedicated student staff as Conference Coordinators, Conference Assistants, and Registration Coordinators to play an integral role in the planning and execution of these programs. Our staff ensures that external clients and event attendees receive quality service and enjoy a memorable experience during their visit to our campus.

Conference Coordinator
Overall Responsibilities:
Coordinators are responsible for working directly with internal and external clients to assist in the planning and execution of programs. The default schedule is Monday through Friday between 9am and 5pm but fluctuates based on the event calendar. Early mornings, evenings, and weekends are required. The staffing schedule will be published in advance. On occasion, coordinators will provide support to the professional Event Services staff with their events.
Salary: $16.00/ hour (plus campus housing starting after Commencement Weekend)
Principal Duties:
- Serve as the primary point of contact with assigned clients through all stages of their program.
- Prepare contracts and necessary paperwork including billing.
- Collect, organize, and distribute information from the client such as room lists and dining guarantees.
- Coordinate logistical needs with various campus service departments such as Dining and Parking.
- Facilitate post-conference client surveys and create event recap notes.
- Provide on-site coverage at a variety of conferences and social functions to include:
- Ensuring conference and meeting locations are set and prepared according to client requirements.
- Verifying on-time and accurate delivery of food and beverage at catered events.
- Verifying that necessary A/V equipment is functioning and ready.
- Assisting with program arrival and departures at residence halls.
- Delivering materials or equipment to event locations.
- Proactively responding to needs and requests of clients and guests.
- Creating signage materials for event locations.
Qualifications:
- Currently enrolled as a Boston University student.
- Previous work experience in customer service, hospitality, or food & beverage is preferred.
- Must have valid US driver’s license with clean driving record.
- Ideal candidate will have attention to detail, excellent written and verbal communication, ability to problem-solve and demonstrate good judgement, excellent customer service skills, and professional demeanor.
- Flexibility to adapt to changing responsibilities depending on the particulars of the event/conference.
- Proficiency working in Excel to create and update spreadsheets.
- Must be able to stand for long periods and lift at least 25 pounds.
E&C will provide a name tag that must be worn anytime you are providing on-site event coverage or in a residence hall. Dress will be determined by work assigned for that day but will likely be business casual.

Conference Assistant
Overall Responsibilities:
Assistants work with the professional staff in Events & Conferences to provide administrative support and onsite coverage at events, conferences and housing check-ins. The default schedule is Monday through Friday between 9am and 5pm but fluctuates based on the event calendar. Early mornings, evenings, and weekends are required. The staffing schedule will be published in advance.
Salary: $15.50/hour (plus campus housing starting after Commencement Weekend)
Principal Duties:
- Provide administrative support to professional staff to help plan and execute client programming.
- Assist with collecting, organizing and distributing client information (i.e. housing, dining and parking, etc.).
- Provide event coverage as an on-site contact for clients and service providers.
- Ensure all conference and meeting locations are set and prepared according to client requirements.
- Verify on-time and accurate delivery of food and beverage at catered events.
- Verify that necessary A/V equipment is functioning and ready.
- Assist with program arrival and departures at residence halls.
- Deliver materials or equipment to event locations.
- Proactively respond to needs and requests of clients and guests.
- Create signage materials for event locations.
- Assist with other administrative projects such as updating spreadsheets, cross-checking event information, and answering phone calls and emails.
Qualifications:
- Currently enrolled as a Boston University student.
- Previous work experience in customer service, hospitality, or food & beverage is preferred.
- Must have valid US driver’s license with clean driving record.
- Ideal candidates will have attention to detail, ability to problem-solve and think on ones feet, excellent customer service skills, dependability, and a professional demeanor.
- Flexibility to adapt to changing responsibilities depending on the particulars of the event/conference.
- Experience working in Excel to create and update spreadsheets is a plus.
- Must be able to stand for long periods and lift 25 pounds.

Registration Coordinator
Overall Responsibilities:
Registration Coordinators work with the professional staff in the Events & Conferences office and conference attendees to provide technical and customer service support. This is a heavily customer-focused position that requires excellent oral and written communication skills and attention to detail. The default schedule is Monday through Friday between 9am and 5pm in-person at the Events & Conferences office. The work week is typically not more than 35 hours, but the schedule will vary and require some early mornings, evenings, and weekend shifts depending on event/conference schedules. The staffing schedule will be published in advance. The work schedule for this position will not allow for summer classes, other jobs, or internships. This position may be eligible to fulfill internship requirements.
Salary: $15.50/hour (plus campus housing starting after Commencement Weekend)
Principal Duties:
- Create and maintain registration sites on Eventbrite
- Assist individual attendees with canceling, modifying, or adding registrations
- Run reports in Excel and format to present to clients
- Use Excel to create room lists for overnight reservations
- Manage a busy, shared email inbox
- Provide excellent customer service over the phone, email, and in-person
- Coordinate logistical needs with various campus departments such as Transportation Services
- Provide onsite support during conference registrations and check-ins at residence halls
- Assist with client Qualtrics surveys and/or marketing projects
Qualifications:
- Currently enrolled as a Boston University student
- Previous work experience in customer service or hospitality is strongly preferred
- Interest and enthusiasm for technical projects
- Have valid US driver’s license with clean driving record
- Ideal candidate will have attention to detail, excellent written and verbal communication, ability to problem solve, and demonstrate good judgement, excellent customer service skills, and a professional demeanor
- Flexibility to quickly adapt to changing responsibilities
- Proficiency working in Excel to create and update spreadsheets
- Ability to stand for long periods and lift at least 25 pounds
Dress code will be dependent upon event staffing requirements but will typically be business casual.
Employment Schedule
Employment Dates: Spring TBD – late August
Work Schedule: 8-12 hours during spring semester; 35-40 hours per week during the summer
Training Schedule: Training will begin around April 1, and will require a minimum of 8 hours per week during the spring semester.
Summer Schedule: From mid-May through late August, schedule will be a minimum of 35 hours per week. Early morning, evening and weekend shifts will be required based on conference calendar. The work schedule will not allow for summer classes, other jobs, or internships. It will also not allow for more than 3 consecutive days off, prior to mid-August. Time off will need to be approved in advance.
