One of the major features of SharePoint is the ability to save and access files in the cloud. As this storage space is not linked to the BU Network, access doesn’t require the CISCO AnyConnect VPN.

Tools that you will encounter when using your SharePoint storage include:

  • Recycle Bin: Restore content deleted within the last 30 days.
  • Version History: Review and return to previous save points of your documents.
  • Check Out/Check In: Temporarily restrict edit access to a single user.
  • Syncing and Shortcuts: Access your storage from your computer’s File Explorer/Finder.

  • Assistance with syncing storage on any BU-provisioned machine
  • Restoring content from 30 to 60 days past deletion
  • Creating document libraries and setting initial permissions

Frequently Asked Questions

A co-worker and I were working on a document at the same time and some data is missing. What happened?

SharePoint is similar to other platforms like Google Drive; when multiple users work on a document they have simultaneous access. This can cause problems saving the document as conflicting edits may overwrite one another.

Use the Version History to return the document to a convenient save point, then use the Check Out Feature going forward to avoid future issues.

What happens if I miss the 30 day window for the Recycle Bin?

MET IT has access to a secondary Recycle Bin that holds any deleted data between 30 days and 60 days old. Contact us to retrieve deleted items during this window of time.

Once 60 days has past, the data is no longer retrievable.

How do backups work? Should I worry about having multiple copies?

SharePoint storage is cloned on multiple Microsoft servers to ensure that you will always have access to your files. The Version History and Recycle Bin are available to restore any previous file states or deleted files respectively.
