FFF – June 7, 2019
1) Year-End memo reminder
The Fiscal Year-end Closing Memo was distributed from the Comptroller’s Office in mid-May. It contains timelines and deadlines for the various financial processes, and for nearly all employees there are at least some elements that will be relevant. Please ensure that all necessary information and deadlines are communicated to the employees in your units. A copy of the memo can be found here.
2) New Security Role for Concur Travel Approvals
Recently BU Works & Travel Services completed a system enhancement effort to make it easier for Department’s to control who approves expense reports for their areas and accounts. The creation of the E.FI.TRAVEL_APPROVER Security Role, partnered with Concur daily employee file updates, has allowed for a 1 to 1 relationship between financial approvers in Concur and cost object approval. The above updates have eliminated the former logic where ALL approvers on a fund center were sent into the system and Concur would route reports to the approver with the lowest UID. When we went live with the system updates, the E.FI.TRAVEL_APPROVER role was automatically assigned based on current Concur workflow. 3) Payment Services - summer roadshows
In the past, Payroll & Payment Services has done summer “roadshows”, where we visit various units and departments to answer questions and give updates on policy and procedure. While there is not currently a schedule for this for Summer 2019, if your group would be interested, please let Ramsey or Matt know and we will work to get something set up.
4) SSNs on disbursement requests
As a reminder, Social Security Numbers (SSNs) should not be included anywhere on Disbursement Request forms, other than in the W9/W8 attachment. SSNs should not be included in any text fields on the Disbursement Request form itself, nor on any Invoice attachment.
5) FFF summer hiatus
We’ll be taking a break from the First Friday Five over the summer, and will be restarting in the fall. If you have any topics you’d like to see addressed then, please submit your suggestions here.
