1) Coming soon: Viewing invoices in SAP
By the end of March, invoices for processed Accounts Payable payments will become available for viewing in SAP and BUWorks reporting, by drilling down on the FI Document # level. This will provide end users, financial administrators, et al the ability to identify the details of an individual payment. Stay tuned for the official announcement and how-to instructions.
2) Correcting work schedule rules
Employees are not authorized to take an absence for an amount of time longer than their regularly scheduled hours on a given day, including sick time, vacation time, and intersession pay. If your employee’s work schedule changes, a timekeeper for the employee needs to update the Work Schedule Rule via WebGUI immediately to ensure continued accurate and timely payments in the event of an approved absence. Payroll does not correct Work Schedule Rules on behalf of the department, and this must be corrected by a timekeeper in the case of an incorrect work schedule rule. You can avoid work schedule rule errors by reviewing the work schedule in the hiring form when hiring staff or faculty, as the default setting may not be the most appropriate for the employee.
3) 1042-S tax forms
1042-S tax forms (Foreign Person’s US Source Income Subject to Withholding) for 2018 will be mailed out prior to March 15th. These will be sent in hard copy to the address in each individual’s BUWorks profile. Employees looking for additional assistance in understanding their 1042-S can find it here.
4) Rental vehicle accident procedures
All employees renting a vehicle for University business should use their Travel Card to reserve and pay. This provides free primary collision damage waiver insurance for the full value of a rental vehicle, in the case of an accident. This coverage is available worldwide. 5) Research Related Payments
Boston University faculty and staff carrying out research regularly collaborate with individuals who are not Boston University employees, and with companies and other institutions. The process to use when entering into an agreement for services depends on the nature of the services, and the size and duration of the engagement.
