1) Invoices viewable in SAP/WebGUI
Effective April 2019, invoices for processed Accounts Payable payments are available for viewing in SAP and BUWorks reporting, by drilling down on the FI Document # level. This will provide end users, financial administrators, et al the ability to identify the details of an individual payment. Please see this guide for step-by-step instructions.
2) After-the-Fact Review Training
PAFO, in conjunction with the Comptroller Office, has scheduled an After-the-Fact Review Training for Wednesday, June 12th at 3pm. If interested, please sign up here. The training is relevant for all areas and includes the importance of regularly reviewing transactions posted to fund centers plus other tips and guidance.
3) Why a processed invoice might not yet have been paid
There are several possible reasons why an invoice that has been submitted, correctly and with all information, still may not yet have been paid. These include:
- The payment terms for the vendor may include a timeline that has not yet completed. For example, an invoice dated January 1st for a vendor with Net-30 payment terms will be sent for payment until January 31st, even if the invoice is submitted and fully processed earlier in the month. More information about vendor payment terms can be found on the Sourcing website.
- There is a U-hold on your invoice. U-holds are temporary holds placed on invoices under $5,000 that have been processed and are ready to generate payment. This hold will expire after 3 days and release payment, but it can also be released earlier via the Worklist tab in BUWorks. Individuals who lack approval permissions can forward Worklist items to others with the appropriate permissions.
- There is an O-hold on your invoice. O-holds are placed on invoices over $5,000 that have been processed and are otherwise ready to generate payment. These must be released via the Worklist tab in order for payment to generate.
If your invoice does not show up in your Worklist but also has not been paid, you can check on its payment status via the WebGUI tab in BUWorks, using Transaction code FBL1N, and following the instructions in this guide. You can also submit an online request using the webforms here.
4) Tax Information for Foreign Nationals
For international scholars, visitors and students who need to receive payment through the Payroll office, it is necessary to determine residency status and eligibility for tax treaty exemptions. 5) Payroll & Payment Services site changes
