The following is a breakdown of what notifications are sent throughout the project lifecycle. It details who each notification is sent to along with it’s contents.

When a Requester submits a Project Request 

  • Upon submission of a project request, the project requester and project sponsor(s) will receive an email notification confirming that their request has been submitted. It will also contain the following:
    • Request ID
    • Request Name

When a Project Request is converted from a Request into a Project 

  • The project requester will receive a notification confirming that their request has been converted into a project. It will also contain the following:
    • Request ID
    • Project ID
    • Project Name
    • Project Owner

Daily Project Report

  • A daily report email is sent to an IS&T PPM list which details all new projects that were created that day.

Internal and Public Watch Lists

  • Email notifications with notes/activity added to the project by any team member will be sent to individuals who are on the public and internal watch lists for the project in ServiceNow. If the Project Requestor, sponsors or any other non-IT parties interested in the project wish to receive email updates with project activity, they should be added to the public watch list. Technical team members should be added to the Internal watch list.
