A133 Cluster | This field is used to indicate whether the award is “major” or “non-major” with regard to the A133 cluster. |
Activity Type | Activity Types are used in the University’s Negotiated Indirect Cost Rate Agreement with the Federal Government. Primary activities are: Research (both Organized and Research Training), Training (Instruction), and Other Sponsored Activities. |
Actual (1) / Commitment (2) | This term is used in the Variable Entry screen in Funds Management Transactional Detail reports. Inputting a ‘1’ indicates that user only wants to see the Actuals associated with the Cost Object. Inputting a ‘2’ indicates that user only wants to see the Commitments associated with the Cost Object. This is a BU defined shorthand to facilitate faster inputting on the Variable Entry screen. |
Amendment Type | This field captures the type of subaward action being processed in Kuali. It includes: continuation, correction, increment, new, no cost extension, and/or other. |
Application Date | The application date is the date the PI submitted a protocol/request to the relevant insitutional committee for review. |
Approval Date | The approval date is the date the protocol/request for permission was approved by the relevant institutional committee/person. |
Approval Status | The status of the special review (i.e., not yet applied, pending, approved, exempt). |
ARRA Code | The American Recovery & Reinvestment Act of 2009 for federally funded grants to help stimulate the economy through the support and advancement of scientific research. |
Award Campus | The Campus (Charles River Campus, Medical Research Campus, and NEIDL) that corresponds with the proposal funds center Funds Center begins with 1 = CRC Funds Center begins with 2 = MED Funds Center begins with 3 = NEIDL |
Award Funds Center | Funds or Cost Center affiliated with the award, typically depicted as Principal Investigator’s Home Funds or Cost Center. Refer to Funds Center for additional details. |
Award International Activity? | This field is used to indicate if any portion of your award is conducted outside the US. |
Award Person ID | Kuali Research internal award ID used to sort multiple PIs on the same award. |
Award PI | Name of Principal Investigator as listed in the Sponsored Notice of Award. You can look up by Name or BUID. |
Award PI Home Funds Center | BU employees are assigned a “Home Funds/Cost Center” in SAP; for Faculty, this indicates where their appointment is held. |
Award Prime Sponsor | The organization from where the research funds originate (for Federal grants, cooperative agreements, and contracts, this is the Federal agency providing the research funds). |
Award Prime Sponsor Type | The corresponding sponsor type for the prime (originating) sponsor indicates the type of organization/entity the Prime Sponsor is categorized as including, but not limited to: federal government, foreign foundation, industry, or hospital. |
Award Project End Date | The end date of the grant (competing segment), defined as the current budget period plus any unfunded periods, including possible option years, unless the submission of a proposal is required to trigger the option years. Note: this field is derived from the project end date at the parent level in Kuali. |
Award Project Start Date | The date specified in the Notice of Award on or after which expenditures may be charged to the project. Grant validity period represents the time during which a grant is valid. The start date of a grant project period (including any pre-award authorization period). Note: this field is derived from the project start date at the parent level in KCRM. |
Award School | The school or college with which the award funds center is associated. |
Award Sponsor | The name of the Sponsor of the funded award. |
Award Sponsor Type | The type of sponsor who is funding the award. A few examples: Federal Government, University, Industry, Foundation/Assosication, Hospital. |

Award Title (Full) | The official title of the award as it appears on the notice of grant award. |
Award Type | The type of grant by which the award is funded. (e.g., Subgrant/Subcontract (Boston University is the subrecipient), Grant/Contract (Boston University is the prime), or Clinical Trial/Research (Boston University is the prime)). |
Beginning – Ending Years | Input on the Variable Entry screen of the Unrestricted Budget Reports – 5 Years. User inputs on the Variable Entry Screen the years they would like the reported. Variable Entry Screen is auto populated with the five most recently completed fiscal years. The user can overwrite this input to choose other years. |
Budget Begin Date | The starting date of the period during which expenses can be posted against a grant. There is an accounting mechanism in SAP that allows charges to post up to 90 days in advance of the grant Valid From Date and up to a year after the Grant Valid to Date to accommodate a variety of scenarios – authorized preaward spending, etc. The Budget Begin Date is automatically derived from the valid from date mentioned above. |
Budget Document Type | Classification of type of activity that generated the budget adjustment. This field is most commonly used by the central Budget Office to assist with their reporting. |
Budget End Date | The ending date of the period during which expenses can be posted against a grant. There is an accounting mechanism in SAP that allows charges to post up to one year after the grant Valid to Date to accommodate a variety of scenarios – closeout actions, etc. This date is automatically derived from the Valid to Date mentioned above. |
Budget Type | Budget Type is either Recurring (RECR) or Non-Recurring (NRCR) to indicate the frequency of the funding. Recurring Funding is available annually. Non-Recurring Funding is only available in the fiscal year it was added. |
Budget Version | Identifies which version of the Budget is being reported. For the broad community, Version 0 (zero) is the only version that is used (all Funds Management BW reports are set to default to Version 0 in the reports). The Central Budget Office may use other versions when completing reporting. |
Business Area | Represents separate operational or geographic areas of the organization. The most commonly used Business Areas are: 1CRC (Charles River Campus), 2MED (Medical Campus), and 3NBL (NEIDL). The first digit in Cost/Funds Center matches the first digit of the Business Area that the Cost/Funds Center belongs to. |
Business Transaction | Logically connected event that implies change in quanty or a result. Also depict as a posting in accounting . |
Calendar Year | The calendar year in which the transaction was made. |
Campus | In conjunction with Business Area, Boston University has identified three primary Campuses: Charles River Campus, Medical Research Campus, and NEIDL. |
CFDA # | A unique identifier for the sponsor and the funding opportunity announcement (FOA) in the Catalog for Federal Domestic Assistance (CFDA). |
Chart of accounts | A classification scheme consisting of a group of general ledger (G/L) accounts.
A chart of accounts provides a framework for the recording of values to ensure an orderly rendering of accounting data. The G/L accounts it contains are used by one or more company codes. |
Comments | Used to record additional explanation or information related to the transaction. |
Commitment Item | Commitment Item / GL Account describes (or classifies) the revenue or expense activity. The first digit of the GL Account / Commitment Item follows a syntax and for the most commonly used GL Accounts / Commitments Items, the first digit represents the following: 4 = Revenue, 5 = Expense, and 8 = Internal charge from within the University. |
Commitment Item Hierarchy | Groupings of Commitment Items created to assist with reporting by consolidating similar types of revenues/expenses into a single category. These hierarchies are created by Boston University and are available in BW reports where Commitment Items are listed. |
Company Code | It is the highest organizational unit in Financial Accounting that represents a business organization for which a complete self‐contained set of accounts can be drawn upon for purposes of external and internal reporting. This includes the recording of all relevant transactions and generating all supporting documents required for financial statements. The Trustees of Boston University is considered one legal entity and will require only one Company Code – TRBU. |
Completion indicator | Indicator flag to determine whether funds should be released. |
Co-PI | Name of Co-Principal Investigator as listed in the Sponsored Notice of Award. |
Co-PI Email Address | Email Address of Co-Principal Investigator as listed in the Sponsored Notice of Award. |
Co-PI Home Funds Center | BU employees are assigned a “Home Funds/Cost Center” in SAP; for Faculty, this indicates where their appointment is held. |
Cost Center | Funds/Cost Center is an organizational unit to which budget can be assigned and revenue/expenses are collected. The 1st digit of the Funds/Cost Center identifies the Business Area the account is associated with it. The 2nd & 3rd digits are the Unit Number for the entity (for questions on Business Area and Unit Number, see their respective definitions). |
Country | Country where the vendor is located. |
Created by | Initials of user who created the report or query. |
Created on | Date that a transaction was entered into SAP. |
Currency Type | Used to express a transaction in monetary terms in SAP. SAP provides various options to manage the currency type that is used while recording a transaction in the Financial Accounting module. The one used in a compancy code is called the local currency, and all others are called foreign currencies. |
Current Budget End Date | The ending date of the current period which expense can be posted against a grant |
Current Budget Start Date | The starting date of the current period which expense can be posted against a grant |
Current Fiscal Period /Year | When used in conjunction of Previous Fiscal Period / Year, allows for a year to year comparison of data. Enter date format of 0xx/20xx – 0xx/20xx or pick date from drop down menu. Information is displayed for that time period only. |
Current Fiscal Year (Single Value Entry, Mandatory) | The current fiscal period for which a transaction is relevant. (e.g. FY2015, FY2016, etc.) |
Customer | An entity who orders goods and/or services from Boston University displayed as a six digit code within SAP. |
Department activity | The last two digits on a Cost/Funds Center. Typically used when the activity occurring within the Cost/Funds Center is associated in some manner with the Cost/Funds Center ending in ’00’. A common example is an academic program occurring in the academic year is assigned Cost/Funds Center 1xxyyy0000 and the same program occurring in the summer is assigned Cost/Funds Center 1xxyyy00001. |
Department Admin | The name of the Department Administrator responsible for overseeing the account. |
Doc. Control No | Unique key that connects the document outside of SAP to an SAP document. i.e. Concur, Disbursement Forms, Cash Credit Voucher. This is separate from the SAP Document Number. |
Document Number | A unique number that is automatically generated to documents by the system. |
Document Type | Classification of type of activity that generated the revenue/expense posting. Some of the more commonly used Document Types at BU are: Student Accounts, Payroll, P. Card, Invoice – Gross, and G/L Account Document. |
Effective Date of Amendment | The date in which the amendment takes effect. |
Emp Begin Date | The start date of when a holder (employee) was placed in their current position. |
Employee Subgroup | An expansion of the Employee Group field that provides more information on the classification of employee. Some examples: for Faculty – detailing whether they are paid over 12 months; for Exempt Staff – separating Academic Researchers from Administrative staff; for Represented Staff – identifying which union they are part of. For all Employee Groups, identifies temporary employees in that Group. |
End Date of For-Per. | Specifies the payroll period for when the work was performed. |
End Date of In-Per. | Specifies the end date of the payroll period in which the payroll transaction was posted. |
ERROR | Message generated by the system when the shopper executes the “Check” function for a shopping Cart. The error which caused the message must be cleared before the shopping Cart can be ordered. |
Expiration Date | The end date for contract or legal obligation |
FFATA Requires (Y/N) | This checkbox in Kuali is used to indicate whether or not the subaward is subject to FFATA reporting requirements. |

FI Document Number | SAP generated number in the Finance module for a transaction. |
First Name | First name of employee (typically used in conjunction with payroll transactions). |
Fiscal Period/Year | Fiscal month and year. The Boston University Fiscal Year runs from July 1 through June 30. Thus, July is the first fiscal period and is represented as period 001 in SAP. August is period 002, and so forth. On variable entry fields, this term is represented as a three digit number; on the reports, this field can be represented as three characters. For example, 001 or JUL for the month of July. |
Fiscal year | This identifies the accounting year in which the original transaction was posted. Boston University’s fiscal year is from July 1 through June 30. |
FM area | Funds Management Area ‐ An organizational unit of Funds Management which corresponds to a separate operational or responsibility area in the organization. Boston University maintains a 1:1 relationship between the Funds Management Area and the Business Area. |
FM Document Number | SAP generated number in the Funds Management module for a transaction. |
FM Document Status | Indicates status of budget adjustment in Workflow. There are four statuses: Posted, Preposted, Preposted Posted, and Preposted Undone. The keys for these statuses are 1, 2, 3, and 4 respectively. The Posted and Preposted Posted budget adjustments have completed Workflow. The Preposted status indicates the budget adjustment is still in Workflow. Lastly, the Preposted Undone status indicates that the budget adjustment was rejected during Workflow. |
FM Statistical Indicator | This field on the variable entry screen of Funds Management reports allows the user to limit the activity being shown on the reports to just those income/expense activities that generate/consume funding. The variable entry screens are prepopulated with a ‘#’ to indicate to run the report with these parameters. Removing the ‘#’ from the variable entry screen would show all activity associated with the Cost Object, the most common of which is depreciation of equipment purchases. On Funds Management reports, depreciation is considered a statistical item because the funding was consumed when the purchase was made. |
FSR/ISR Number | Column on the Transactional Detail reports that lists the FSR or ISR number if the transaction is the result of service request submitted to an Internal Service Provider (ISP). |
Functional area | Classifies financial activity for the University’s external financial reporting requirements. This includes the University’s annual financial statements and the cyclical Facilities & Administrative Proposal. |
Fund | Monies which are managed separately for specific purposes. See Fund Type for further examples. |
Fund Type | Used to categorize Funds, primarily to facilitate easier reporting. Fund types include, but are not limited to: General University; Sponsored Funds; and Gift and Endowment Funds. |
Fund Type for GM | A way for the University to track the source of funding (DHHS, Program Income, Cost Share) |
Funded Program | Internal Order / Funded Program / Sponsored Program is an account that collects revenues and expenses for a specific purpose. These accounts are typically open for more than one fiscal year and unused funding carries forward from year to year. |
Funded Program Type | Used to categorize Funded Programs, primarily to facilitate easier reporting. The Funded Program Type is two digits long composed of the 2nd & 3rd digit of the Funded Program number. Most common Funded Program Types at Boston University are: 09 = Designated Accounts, 25 = Spendable Endowment Accounts, 30 = Gift Accounts, 50 = Federal Grants, 55 = Non-Federal Grants. |
Funds Center | Funds/Cost Center is an organizational unit to which budget can be assigned and revenue/expenses are collected. The 1st digit of the Funds/Cost Center identifies the Business Area the account is associated with it. The 2nd & 3rd digits are the Unit Number for the entity (for questions on Business Area and Unit Number, see their respective definitions). |
Funds Center Group | A grouping of Funds Centers arranged within a hierarchy created to assist with reporting by consolidating Funds Centers that share a common characteristic. These groupings are created by Boston University and are available in BW reports where Funds Centers are listed. |
Funds Center Group Type | An additional grouping attribute associated with each fund center, defined by the business owners and maintained by the business owners or their delegates. |
Funds Center Hierarchy | Funds Center groups arranged in a hierarchy. These groupings are created by Boston University and are available in BW reports where Funds Centers are listed. |
GL / Commitment item | Term used with FM Reports, both on Variable Entry screens and on the FM Reports. The term is meant to remind user that the terms ‘GL Account’ and ‘Commitment Item’ are synonymous. |
GL Account | Commitment Item / GL Account describes (or classifies) the revenue or expense activity. The first digit of the GL Account / Commitment Item follows a syntax and for the most commonly used GL Accounts / Commitments Items, the first digit represents the following: 4 = Revenue, 5 = Expense, and 8 = Internal charge from within the University. In FI Reporting, GL accounts are also used to represent assets and liabilities. |
GM Billing Rule | Method used to inform sponsors of the expenses incurred on the projects they are financing by means of grants. Type is usually predetermined in the negotiations stage of the award. |
GM doc number | A unique number that is automatically generated to documents by the system. |
GM Value Type | Broad Expense Category limited to four options: Transfer Postings; Indirect; Payroll; and Other Expenses |

Grant | A Grant is used to maintain details describing the terms and conditions of the funding and administration of a sponsored award along with related cost sharing. Grant numbers are used to report on and invoice to external sponsors. A Grant includes all pertinent data associated with the grant or contract for financial purposes; tracks the status of the award or project; corresponds with an awarding document from a sponsor; and groups detailed revenue and expenditure accounts (sponsored programs), including cost share. The Grant is the ‘Parent’ account, formatted as either 50xxxxxx (representing Federal or Federal Pass-Thru money); 55xxxxxx (representing non-Federal money); 94xxxxxx (representing BMC sponsored research awards); or 95xxxxxx (representing Memorandum Of Agreement). |
Grant Last Changed by | Displays the name of the user to last update the grant record in Kuali. |
Grant Last Changed on | Displays the date of the last update to the grant record in Kuali. |
Grant Type | Grant Type is used to identify Federal and Non-Federal awards. Grant Type must be entered into the master data of each grant created in the Grants Management (GM), a module of SAP. |
Grant Valid From / Valid-From Date / Grant Start Date | Start date of the period for which spending is authorized. Note: this date commonly is same as project start date, but there are some exceptions. |
Grant Valid to / Valid-to Date / Grant End Date | End date of the period for which spending is authorized. Example: If we are in year 2 of a 5-year NIH grant, this date would be the end date of year 2. |
Hiring Staff? | For research that is being conducted internationally, will staff be hired outside the US to manage the award? |
Home Fund Center | The Fund/Cost Center responsible for the award. |
IACUC Approval Date | The date the IACUC (Institutional Animal Care and Use Committee) proposal was approved; no animal related charges can be expensed to the award prior to this date. |
IACUC Exp Date | The date the IACUC (Institutional Animal Care and Use Committee) proposal was approved; no animal related charges can be expensed to the award after this date. |
IACUC Required (Y/N) | Federal regulations require an approved protocol via the Institutional Animal Care and Use Committee (IACUC) for animals who are used in research, testing, and teaching. This field indicates whether such an approval is required. |
In-Country Bank Account? | For research that is being conducted internationally, will an In-Country Bank Account be required? |
In-Country Op Expenses? | For research that is being conducted internationally, will In-Country operational expenses occur? |
Initial Period End Date | The end date of the initial proposed project period |
Initial Period Start Date | The start date of the initial proposed project period. |
Int. Order Category | Classifies the type of activity for which the Internal Order is created. Each Funded Program Type has its own set of Internal Order (IO) Categories. Some of the more common IO Categories are: Scholarship, Professorship/Chair, Faculty Start-Up, and Research. |

Invoice Form Name | Indicates the type of form required by the Sponsor. Names include but are not limited to: 1034/1035, 270, Standard Invoice, Standard_SP, Manual, etc. |
Invoice Frequency | For awards that require an invoice, how often do invoices need to be sent to sponsor. Options are monthly, quarterly, other or not assigned |
IRB Approval Date | The date Institutional Review Board (IRB) protocol was approved; no human study subject related charges can be expensed to the award prior to this date. |
IRB Expiration Date | The date Institutional Review Board (IRB) protocol expires; no human study subject related charges can be expensed to the award after this date. |
IRB Required? (Y/N) | Federal regulations require an approved protocol via the Institutional Review Board (IRB) for Human Study Subjects who are used in research, testing, and teaching. This field indicates whether such an approval is required. |
Item Text | Text for a specific line item in a document. |
Job | Generic summary of key responsibilities which includes the general nature of work performed, the level of work performed, the skills and knowledge required for competent performance, and other elements. |
Key Due Date | Used to display Account Receivables aging balances as of a certain date. For example, if an unpaid invoice is dated 01/15/2016 and the key due date entered is 03/25/2016, the receivable will be categorized as >60 days old. If the key due date is entered as 01/25/2016, this same receivable would be categorized as |

Legislative District | A fixed number of boundaries in which a State is divided; used to identify where ARRA funding was going |
Letter of Credit | A mechanism that allows BU to receive reimbursement of federal direct expenses in a timely manner without having to submit a paper invoice. |
Lifecycle Status | Indicates the current status of a grant. |
LOC | A mechanism that allows BU to receive reimbursement of federal direct expenses in a timely manner without having to submit a paper invoice. |
Major Project | An award can be declared a “Major Project”, according to Uniform Guidance, if the project requires an extensive amount of administrative or clerical support; therefore may be allowable as a direct cost on a grant or contract. (applicable to Federal Sponsors Only) |
Master Cost Center | Indicates the organization the position belongs to from an accounting perspective. It is maintained on the position, but carries over to and appears on the employee’s record as well. |
Most Recent FRN | Current Fund Reservation Number (FRN) which is used to encumber Subaward Agreement dollars. |
Non-Employee PI | The individual responsible for the scientific direction of the project. This field is used when the PI is not yet a BU Employee. |
NSF Category | Indicates the specific NSF Field/Science Code in which the research is being conducted. Options include, but not limited to: Physical Sciences, Life Sciences, or Social Sciences. These fields are use to assist in the compilation of the annual NSF HERD Survey. |
Obligated End Date | The end date of the current funding period . This must be the same as or earlier than the Project end date |
Obligated Start Date | The effective date of the current funding period. |
Order | Order is the sponsored program / internal order number. This is used to see the AR on a sponsored program level. |
Organizational Unit | Unit of an enterprise that has managerial potential, such as department, group, subgroup, or project. |
OSP | Indicates who the Sponsored Program Research Administrator (RA) is for the grant/sponsored program. |
OSP Admin ID1 | Sponsored Program Administrator ID |
OSP Admin ID2 | Sponsored Programs second approver as backup, in the event that the first approver is unavailable. |
Other Key Personnel | Other Key Personnel refers to those individuals (outside of PI’s and Co-PI’s) who are specifically named as such in the Notice of Award |
Over head Key | Indicates the F&A Rate associated with the Project |
PAFO | Indicates who the Post Award Financial Operations Research Administrator (RA) is for the grant/sponsored program |
Pay Grade Type | High level classification of employees for Compensation purposes for employees whose base pay component is specified via a salary range. This salary range can be a range of hourly amounts, or per pay period salary amount. |
Pay Scale Group | Low level groupings of employees for Compensation purposes for employees whose base pay component is specified via a fixed hourly amount. |
Pay Scale Level | Actual salary specified as an hourly amount. |
Payment date | Used in the Transactional Detail with Payroll Detail report, this Free Characteristic documents the date of the pay period that the payroll transaction is associated with. |
P-Card Holder Name | Name of employee that made purchase on the University’s purchasing card. |
Period/Fiscal Year (Single Value Entry, Required) (*) | Enter a date format of 0xx/20xx or pick the date from drop down menu. When using reports within the Grants Management Folder, information is displayed cumulatively through date entered when using this field. |
Person (PI) | Name of Principal Investigator or Co-Principal Investigator as listed in the Sponsored Notice of Award. Look up by Name or BUID. |
Personnel Area | A personnel area represents a subdivision of Boston University which is based on personnel administration, time management and payroll accounting criteria. See also Personnel Subarea |
Personnel Subarea | Within the Enterprise Structure, a further subset of personnel area, used to define grouping and defaults for time management and payroll processing. Represent categories of positions in an organization based on the type of work performed, for example, visiting faculty, deans and executives, regular nurses, or bargaining unit. |

PO Number | Number of the Purchase Order generated once the Shopping Cart has completed workflow. The number is automatically assigned by SAP. There is a syntax in the first two digits of PO: 85 = regular Purchase Order and 86 = Limit Order. |
Position Status | Indicates if position is occupied (O) by an employee or is vacant (V). |
Position(s) | This term is used in the Variable Entry screen of the Position Management reports indicating that the input for the field is either a single Position Number or multiple Position Numbers. |
Posting Date | Date that the transaction was posted to the system. Note: this date does not always correlate to the date the vendor or employee was paid. |
Previous Fiscal Period/Year | When used in conjunction with Current Fiscal Period / Year, allows for a year to year comparison of data. Enter date format of 0xx/20xx – 0xx/20xx or pick a date from the drop down menu. Information is displayed for that time period only. |

These accounts are typically open for more than one fiscal year and unused funding carries forward from year to year. The Sponsored Program is the ‘child’ account of a Grant, formatted as either 950xxxxxxx (federal) or 955xxxxxxx (non-federal) for BU Grants. The sponsored program number is a tool for grouping costs to satisfy the sponsor’s view and reporting needs. It defines, in the sponsor’s view and terms, a program to be funded. Sponsored Program numbers are also used for BMC Grants (994xxxxxxx) or Memorandum of Agreements (995xxxxxxx). Tolerance Profile | A tolerance profile pools different tolerance limits for availability control. |

Unit Number | A carryover term from the University’s Legacy Financial System that equates to the second and third digits of a Cost/Funds Center. For many entities, these digits match their Unit Number in the Legacy Financial System, however not for all areas. |
Valid-to Date | The date a contract ends |
Value type | Identifies the FM document value types for transactions that will be allowed in the posting period or subdivision of a valuation category in split valuation. |
Vendor | Name of organization purchased goods or services from. |
Vendor Invoice | Number of the invoice generated by the vendor. |
Wage Type | Classifies employee compensation, payroll deductions and other payroll related activity. Examples of Employee Compensation Wage Types include: Basic Pay, Vacation, Sick, and Overbase. Examples of Payroll Deduction Wage Types include Employee Retirement Contribution, Employee Health Insurance Contribution, and Parking Permit payment. |
WBS Element | Account type used to identify and track capital projects. Each WBS Element is 10 characters long, beginning with an alpha character followed by a ‘.’ then the remaining 8 characters (example: R.000093.1). The alpha character denotes type of project being completed (A = Acquisition, C = New Construction, I = IS&T System, R = Renovation / Repair, S = Space Change). |
