Reports Available to Payroll Coordinators and Managers
How to Run – HCM Payroll Inquiry by Employee PA15 Report
Run this report to view payment activity for one or more employees within the organizational units to which you have access. Data returned will be limited by the date range you specify. Note the data restriction based on organizational unit. This report answers the question “who in my organization is being paid, regardless of what the source of that funding is?” The source might be a payment from your department’s operational budget or another Cost Center or a grant associated with a department or center outside your own.
The data in this report is identical to that contained in the report Payroll Inquiry by Distribution (PA12). The only difference between the two is the order in which the data columns are initially displayed.
How to Run – HCM Labor Distribution by Funds Center Report
This report secures data based on payments made from sources associated with Funds Center(s) to which you have access. The report answers the question “who am I paying, regardless of what organizational unit is their home base?” In other words, this report enables you to track payroll payments you make to anyone at the university, independent of whether those recipients are inside or outside of your organization.
One example of a payee category that would be visible in the Funds Center report is students, who are not typically assigned to any organizational unit. Another example is a faculty member based in another School/College/department whom you are paying to teach a course in your area.
Feature Comparison of Commonly Used Payroll Reports
Labor Distribution reports are the most popular of the HCM reports. There are no documents that describe how to run the existing Labor Distribution reports, but this page describes the differences between these two primary reports: the Labor distributions Payroll Inquiry by Employee (PA15) and the Labor Distribution: Fund Center reports. The document emphasizes why you should use one report or the other, depending upon the question you are attempting to answer. To learn more about the Labor Distribution reports, we recommend that you attend the Introductory Payroll Reporting workshop, which is typically offered once every month.
How to Run – HCM Faculty and Staff Directory Report
View any faculty or staff member employed by the university. Unlike other HCM reports, this report is not secured by organizational unit and can therefore be used to search across the university for an employee by name, master cost center, org unit or personnel number. Personal or confidential information is not available in this report.
How to Run – HCM Employee Master Data – Snapshot Report
View data for selected employee(s) as of a snapshot date. The report can be run for an individual, a department, an entire School/College, an employee group, etc.
How to Run – HCM Employee Master Data – History Range Report
View selected employee data over a date range you specify. This report examines changes in multiple Infotypes. If any of these Infotypes has a record with an end-date that falls within the specified History Date interval, then that record is shown on the report.
How to Run – HCM Historical View of Payments Report
View Basic Pay, Recurring Pay, and Additional Pay wage type activity for selected employees. Report focus is on changes in pay for an individual or a group of employees during a selected date range. To view detailed payment activity by wage type, use a labor distribution report.
How to Run – HCM Most Recent Occurrence of Payments Report
View wage types for employees as of a certain time frame for Basic Pay, Recurring Pay, and Additional Pay. The Infotype information displayed is the most recent as of the specified snapshot date.
How to Run – HCM Cost Distribution Report
This report examines the distribution start and end dates for all employees in a selected population (controlled via Variables entered at run time and by the data access permissions of the person running the report). Each distribution is tested against a user-specified Snapshot date. Employees with distribution start/end dates that define a range that includes the Snapshot date are returned in the report, along with all the distributions for each employee.
How to Run – HCM Additional-Recurring Payment Report
This report returns a list of employees who have received a recurring or additional (one-time) payment sometime during the date range (History Range) specified at run time. In addition to employee names, the report returns payment amounts and the dates during which the payments are valid.
How to Run – HCM Position Status Report
Execute this report to display all positions within an Organizational Unit. Information focus is on position status – occupied or vacant. If a position is occupied, the name of the employee in the position is available, as are a number of other data elements regarding the employee, including date when the employee filled the position, enterprise structure, and job.
How to Run – Cost Distributions Soon to Expire
Use this report to generate a list of employee distributions that have expired or are scheduled to expire anytime during the two months following when the report is run. Note that all distributions will be listed for any employee with at least one expiring distribution, including those distributions not expiring
Reports Available to Faculty Action Managers
How to Run – HCM Faculty Audit PA9001
Use the PA9001 report to verify specific faculty data such as which full-time faculty members have a contract end date approaching and need to be renewed, or which faculty members will be reviewed for tenure in a given year. In addition, the report can be used for general data verification to determine if information is missing or outdated.
How to Run – HCM Faculty Roster Report
Execute this report to view a roster of faculty within a specified Master Cost Center or an entire school/college. Alternatively, the report can be run for an individual faculty member. Data returned includes primary/secondary appointment, position, contact email, and many other fields identified and defined below.

How to Run – HCM Employee Absence Tracking report – Historical View
Execute this report to view all time quotas – vacation, sick time, personal days, etc. – for a single month or a date range, for one or more employees in an Organizational Unit.
Reports Available to Administrators Responsible for Position Budgets
How to Run – Position Budget – FM Reconciliation report
Execute this report to reconcile Funds Management position budget amounts against planned budget amounts. The report displays aggregated position budget amounts by Commitment Item as of a particular date for a specified Funds Center or Funded Program.
How to Run – Position Management report
Execute this report to display a list of positions that are active as of a particular date for a specified Master Cost Center, Funds Center, or group of Funds Centers. For each position, the following information is provided: budget amount, funding source, salary distribution and employee currently occupying the position.
